Scope of this Privacy Policy
This Privacy Policy applies to the CrewLAN Website at crewlan.com, the CrewLAN License Manager at license.crewlan.com, the download infrastructure at downloads.crewlan.com where relevant, license activation and license management, support communications and related administrative processing. A separate Software Privacy Notice explains local workspace data processed by CrewLAN Host and CrewLAN workspaces.
Website Hosting and Server Logs
The CrewLAN Website is hosted on managed hosting infrastructure provided by Hetzner. When you access the website, server log files may process technical data such as the requested page, date and time, browser information, operating system information, referrer URL and IP address. Processing is carried out to provide the website securely, maintain technical stability, detect attacks and troubleshoot errors.
Contact Forms and Support Requests
If you contact us by email or through the Elementor contact form, we process the information you provide, including your name, email address, subject and message content. We use this data to respond to your request, provide product support and document support communications. Please do not send sensitive workspace contents, confidential production data or personal data of third parties unless this is necessary for your support request.
Matomo Analytics
We use self-hosted Matomo analytics in a privacy-friendly configuration. Matomo is configured without cookies and with IP anonymisation. We use the resulting usage statistics to understand general website usage and improve the website. No external analytics provider receives the data. If this configuration changes, we will update this Privacy Policy and, where required, obtain consent before using consent-relevant technologies.
License Manager and License Accounts
The CrewLAN License Manager allows users to view license status, license keys, activated devices, activation usage and purchase history. Login may be provided by email link. We process email addresses, license keys, license status, device activation records, device labels, app version information, activation and deactivation timestamps, purchase history and administrative logs.
Device Identifiers and Device Labels
CrewLAN Host creates a random local device identifier for license activation. This identifier is not derived from hardware serial numbers, MAC addresses or other hardware fingerprints. The device label may be pre-filled from the operating system device name but can be changed by the user before transmission. Device identifiers and labels are processed to enforce activation limits and to allow users to manage their activated devices.
License Activation and Update Checks
CrewLAN Host may communicate with license.crewlan.com for activation, deactivation and license validation. Automatic update checks are enabled by default and can be disabled. Update checks may process technical request data and app version information to determine whether an update is available. No crash reports, telemetry or diagnostic reports are intentionally transmitted by CrewLAN Host.
Digistore24 Purchase Data and Webhooks
CrewLAN is sold through Digistore24 as merchant of record. After a purchase, refund, chargeback or similar event, Digistore24 may send webhook/IPN data to license.crewlan.com. We process order number, product ID, event type, billing type, payment sequence, purchased quantity, customer email address, customer first name and last name, technical verification data, signature verification data and the webhook payload to provision licenses, manage activation capacity, maintain purchase history, detect duplicate events, document refunds and chargebacks and protect the licensing system against misuse.
Retention
License, purchase and activation data are retained for as long as necessary to administer perpetual major-version licenses, prove license status, manage activations, document refunds or chargebacks and defend legal claims. Raw webhook payloads and administrative logs should be periodically reviewed and reduced or deleted when they are no longer required for auditability, troubleshooting or legal defence.
Legal Bases
Processing is based, depending on the context, on performance of a contract, steps prior to entering into a contract, compliance with legal obligations and legitimate interests in secure operation, fraud prevention, license enforcement, support and documentation. Where consent is legally required, processing will be based on consent.
Recipients and Processors
Personal data may be processed by hosting, email, website and technical service providers acting as processors where applicable. Digistore24 processes checkout, payment, invoice, VAT and refund data as merchant of record and generally acts as an independent controller for those activities.
International Users
CrewLAN may be made available worldwide. Where personal data is transferred outside the European Economic Area, we will use appropriate safeguards where required by GDPR, such as adequacy decisions or standard contractual clauses.
Rights of Data Subjects

Changes
